Identifying licences due for renewal

When licences are ready to be renewed, the status of the record will change to `renewal letter ready to send`.  This will automatically occur three months prior to the licence expiring.

All records ready for renewal can be retrieved via this status from the drop down list on the main properties page.



Sending letters

A task will be created to generate and send a renewal invitation letter. 

The letter will be addressed to the licence holder advising them of the requirement to renew the licence. 

Instructions on how to renew will be contained within the letter including a PIN to verify the licence holder. This will allow them to make an application via the online renewal form and either:

  • Make a declaration confirming that there is no change to the information currently held by the council; or
  • View all information currently held by the council and make amendments to this information.

A PIN will not be provided in the renewal letter for migrated records (licences from third party systems) as the application will need to be completed in full. 

It is possible any interested party to make a full renewal application without entering a PIN by selecting 'I don't have a PIN' on the renewal form. 



Renewal fees

Fees for renewal applications can be set by a council administrator via the settings. These can be the same or differ to the new application fee. Split payments and landlord accreditation discounts can also be applied.



Processing a renewal application

Processing of the renewal application is identical to the new applications workflow.  The same tasks and actions will be generated.
